Not A Phase Online Conduct Policy

Not A Phase is committed to maintaining a positive and professional presence on social media while ensuring compliance with relevant laws and guidance. This policy sets out our expectations for the responsible use of social media by all associated with the charity.

The purpose of this policy is to:

  • Protect the reputation and integrity of Not A Phase.
  • Provide staff, trustees, and volunteers with clear guidelines for social media use.
  • Ensure compliance with UK Charity Commission guidance on online activities.

This policy applies to all staff, trustees, volunteers, and anyone acting on behalf of Not A Phase when using social media in both a personal and professional capacity.

Definitions

  • Social Media: Platforms for online communication, such as Facebook, Twitter, Instagram, LinkedIn, and TikTok.
  • Charity-Related Content: Any post, comment, or share that mentions Not A Phase, its activities, or its stakeholders.

This policy is based on relevant legal and regulatory guidance, including:

  • Charity Commission’s guidance on social media use.
  • Data Protection Act 2018.

       • Defamation Act 2013.

Our Commitments

We are committed to:

  • Maintaining the trust and confidence of our beneficiaries and supporters through ethical social media practices.
  • Encouraging transparency while safeguarding sensitive information.

       • Providing training and resources to ensure all representatives understand their responsibilities.

Responsible Use

All representatives of Not A Phase must:

  • Clearly distinguish personal opinions from those of the charity.
  • Use disclaimers, such as “views are my own,” when applicable.
  • Avoid sharing sensitive, defamatory, or misleading content.
  • Respect confidentiality by not sharing private information about beneficiaries or stakeholders.
  • Seek approval for official use of the charity’s name, logo, or branding.
 Prohibited Activities

The following activities are strictly prohibited:

  • Posting discriminatory, inflammatory, or abusive content.
  • Engaging in political advocacy on behalf of the charity without Board approval.
  • Misusing Not A Phase’s social media accounts for personal purposes.
Training

All staff and volunteers will receive training on responsible social media use, including:

  • Recognising inappropriate content.

       • Reporting breaches of this policy.

Monitoring and Accountability
  • Social media activity referencing Not A Phase may be monitored to ensure compliance.
  • Breaches of this policy will be addressed in line with disciplinary procedures.
Reviewing

This policy will be reviewed annually or in response to significant changes in social media practices or legislation.
