Not A Phase Volunteer Policy

Not A Phase recognises the valuable contribution that volunteers make to our work. We aim to provide a supportive and rewarding environment for volunteers. This policy outlines our approach to volunteer management and the standards we expect from and offer to our volunteers.

The purpose of this policy is to:

  • Define the role of volunteers within Not A Phase.
  • Outline the recruitment, management, and support processes for volunteers.

       • Ensure volunteers are treated fairly and with respect.

This policy applies to all volunteers working with Not A Phase.

Definitions

  • Volunteer: A person who performs a service willingly and without pay.

       • Volunteering: The commitment of time and energy for the benefit of society and the community, the environment, or individuals outside one’s immediate family. It is undertaken freely and by choice, without concern for                financial gain.

Our Committments

We are committed to:

  • Creating a welcoming and inclusive environment for all volunteers.
  • Providing appropriate training and support to enable volunteers to carry out their roles effectively.
  • Recognising and valuing the contributions of volunteers.

       • Ensuring volunteers are aware of and comply with Not A Phase’s policies and procedures.

Volunteer Recruitment
  • Application: Individuals interested in volunteering with Not A Phase must complete a volunteer application form.
  • Interview: Suitable applicants will be invited to an informal interview to discuss their interests, availability, and the opportunities available.
  • References: Volunteers may be asked to provide references as part of the recruitment process.

       • DBS Check: Depending on the role, volunteers may be required to undergo a Disclosure and Barring Service (DBS) check.

Volunteer Roles

Volunteers may be involved in a variety of roles, including but not limited to:

  • Administrative support
  • Event organisation and support
  • Outreach and community engagement
  • Fundraising

       • Peer support

Induction and Training
  • Induction: All new volunteers will receive an induction that includes an introduction to Not A Phase, our policies and procedures, and their specific role.

       • Training: Volunteers will receive appropriate training to help them carry out their roles effectively and safely.

Support and Supervision
  • Support: Volunteers will have a named supervisor who will provide ongoing support and guidance.

       • Supervision: Regular supervision meetings will be held to discuss the volunteer’s progress, address any concerns, and provide feedback.

Volunteer Rights and Responsibilities
  • Rights: Volunteers have the right to:
  • Be treated with respect and dignity.
  • Receive adequate information, training, and support.
  • Be recognised and appreciated for their contributions.
  • Work in a safe and healthy environment.
  • Responsibilities: Volunteers are expected to:
  • Adhere to Not A Phase’s policies and procedures.
  • Maintain confidentiality.
  • Be reliable and commit to the agreed hours of work.

       • Inform their supervisor if they are unable to fulfil their role.

Problem-Solving and Complaints
  • Issues: If a volunteer has any issues or concerns, they should speak to their supervisor as soon as possible.

       • Complaints: Formal complaints will be handled in accordance with Not A Phase’s Complaints Policy.

Recognition and Reward

We recognise the valuable contributions of our volunteers through:

  • Regular feedback and appreciation.
  • Volunteer events and celebrations.
  • Certificates of recognition for significant achievements and milestones.

 

Review and Monitoring

This policy will be reviewed annually and updated as necessary to ensure it remains relevant and effective.
